Privacy Policy

This policy explains our privacy practices for Luxmore.ai, our public forms and AI features, authorized administrative tools, and the Luxmore Homes experience in ChatGPT. It does not replace the privacy policies of third-party platforms you choose to use.

1. Who we are and what this policy covers

Luxmore Group Realty ("Luxmore," "we," "us," or "our") provides real estate information, search tools, inquiry services, AI-assisted features, and related brokerage services. We are responsible for personal information under our control and have designated a Privacy Officer to oversee this policy.

This policy applies when you visit Luxmore.ai, submit an inquiry, use public search or AI features, use an authorized Luxmore account, communicate with us, or use the Luxmore Homes experience through ChatGPT. OpenAI, Google, Mapbox, Clerk, Cloudflare, listing-data providers, and other third parties have separate privacy practices for information they control.

2. Personal information we collect

The information we collect depends on how you use the service. You may choose not to provide optional information, although some features may then be unavailable.

  • Inquiry and contact information: name, email, phone number, WeChat identifier, preferred contact method, message, property or project of interest, page path, and related details you submit.
  • Agent recruitment information: licensing status and type, current brokerage, years of experience, professional interests, goals, and other information included in an agent inquiry.
  • Search and AI information: typed or transcribed search prompts, assistant messages, selected listings, filters, map bounds, language, search results, conversation state, and any contact details you intentionally submit for follow-up.
  • Voice search information: audio you choose to record for transcription and the resulting transcript. Do not use voice input where you do not want audio sent to our transcription provider.
  • Authorized account information: identity, email, role, organization or entitlement information, session identifiers, and activity needed to authenticate and administer protected Luxmore tools.
  • Technical and usage information: IP address, browser and device details, timestamps, referring pages, pages viewed, interactions, cookie or similar identifiers, request paths, response status, duration, and diagnostic or security events.
  • ChatGPT Homes tool information: the structured search criteria or listing identifiers needed to run a tool, language and nearby-facility preferences, and limited operational logs. Luxmore does not need your full ChatGPT conversation to execute these tools.

3. How we collect information

We collect information directly from you, automatically from your browser or device, from platforms you use to access a Luxmore feature, and from service providers or business partners that help deliver the service. Property listing and nearby-place data may come from public or licensed data sources and generally relates to properties or businesses rather than to you personally.

We do not request precise device geolocation for the Luxmore Homes experience. A map search may send the geographic bounds you choose to search, and nearby-facility analysis uses the coordinates of the selected property—not your device location.

4. How we use personal information

We use personal information for purposes that a reasonable person would consider appropriate in the circumstances and as otherwise permitted by law.

  • Provide, personalize, and maintain listing search, maps, comparison, AI assistant, ChatGPT Homes, inquiry, and account features.
  • Respond to inquiries, route them to an appropriate Luxmore representative, send requested information, and follow up through your selected channel.
  • Translate, transcribe, classify, summarize, or generate responses when you choose an AI-enabled feature.
  • Authenticate authorized users, manage permissions, prevent abuse, verify form submissions, and protect our systems and users.
  • Diagnose errors, measure service use, understand feature performance, and improve reliability and user experience.
  • Meet legal, regulatory, professional, record-keeping, and dispute-resolution obligations and enforce our terms.

5. When we disclose information

We do not sell personal information. We may disclose information to Luxmore personnel and representatives who need it for the purposes described above, and to service providers acting for us. Depending on the feature, these providers may include Cloudflare for hosting and security, Clerk for authentication, Google for Analytics and Maps or Places, Mapbox for maps, OpenAI for AI processing or transcription, CREA DDF and other listing-data providers, database and storage providers such as Turso, and email or communications providers.

We may also disclose information with your direction or consent, to complete a business reorganization or transaction subject to appropriate protections, or where required or permitted by law—for example, to respond to lawful process, protect rights and safety, investigate misuse, or comply with regulatory obligations.

Some providers process information outside British Columbia or Canada. Information in another jurisdiction may be subject to that jurisdiction's laws and lawful access procedures.

6. Cookies, analytics, and similar technologies

We and our providers use cookies or similar technologies for authentication, security, service operation, preferences, and analytics. Google Analytics helps us understand visits and interactions. Clerk and Luxmore session cookies support authorized accounts. Cloudflare Turnstile processes technical signals to distinguish legitimate form submissions from abuse. Embedded map and sharing features may also contact Google, Mapbox, or WeChat services.

You can restrict cookies through your browser. Blocking essential cookies may prevent sign-in or other protected features from working. Browser privacy controls do not necessarily prevent server-side security logs or information you deliberately submit.

7. AI features and ChatGPT Homes

Luxmore.ai offers optional AI-assisted search, comparison, transcription, and conversational features. Information you submit to those features may be sent to an AI provider to produce the requested output and may be stored in Luxmore conversation records when needed to maintain context or support follow-up. AI output can be incomplete or inaccurate; do not include unnecessary sensitive information in a prompt.

When you use Luxmore Homes in ChatGPT, OpenAI controls the ChatGPT conversation and provides Luxmore only the tool inputs needed to perform the selected action. Luxmore returns property data or a structured result to ChatGPT. Search inputs are not saved in the nearby-analysis database. If you request nearby facilities, we temporarily store a generated analysis identifier, property identifier and coordinates, radius, selected categories, language, provider metadata, timestamps, and place identifiers. That analysis expires after 24 hours and expired records are removed during subsequent analysis activity.

Operational logs for the Homes service contain a request identifier, method, path, status, duration, and limited error details. They are used for reliability and security; they are not intended to store your ChatGPT prompt. ChatGPT itself remains subject to OpenAI's terms and privacy policy.

9. Retention

We retain personal information only as long as reasonably necessary for the purposes described in this policy, to maintain appropriate business and professional records, to resolve disputes, and to meet legal or regulatory requirements. Retention depends on the type of record and the context in which it was collected. We then delete, anonymize, or securely dispose of information in accordance with our practices and applicable law.

The 24-hour expiry described above applies specifically to ChatGPT Homes nearby-facility analysis records. It does not set the retention period for website inquiries, authorized accounts, analytics, AI conversations, backups, security logs, or records held independently by a third party.

10. Safeguards

We use administrative, technical, and physical safeguards appropriate to the sensitivity of information, including access controls, authentication, transport encryption, input validation, security verification, and restricted administrative tools. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.

Please do not send highly sensitive information—such as government identifiers, financial account credentials, or medical records—through a property-search prompt, public inquiry form, or ChatGPT Homes tool.

11. Access, correction, and complaints

You may request access to personal information about you in our custody or control, ask us to correct inaccurate information, or raise a privacy concern. We may need to verify your identity and may limit access where permitted or required by law. We will explain any applicable limitation.

You may also contact the Office of the Information and Privacy Commissioner for British Columbia if you believe your privacy rights have not been respected. We encourage you to contact our Privacy Officer first so we can try to resolve the concern.

12. Children and youth

Our services are directed to people capable of making real estate or professional-service inquiries and are not designed for children. If a person cannot meaningfully consent to the handling of their information, consent must be provided by an authorized parent or guardian. Contact us if you believe a child submitted personal information without appropriate authorization.

13. Changes to this policy

We may update this policy to reflect changes in our services, providers, or legal obligations. We will post the updated policy and change the date above. Where a change is significant, we will provide additional notice or seek consent when required by law.
